Companies Act 2006

Company information on electronic data

Recent changes in the Companies Act 2006 have introduced a requirement to include Company information on electronic data. Therefore, on emails & web pages you will now need to include:

  • Company Number
  • Registered Office
  • Any trading names that are used as well as the official company name
  • Where the company is registered i.e. England & Wales

We've spoken with the Department of Trade and Industry to clarify whether email replies must also carry this information, and their response suggests that they havn't got a definate answer. They say that you must declare the information on the first email you send to someone in a conversation. This might be a new conversation that you initiate, or it might be your first reply to an email someone sends to you - either way, it should contain the relevant details.

 

Configuring Microsoft Outlook for automated signatures (Based on Outlook 2003 / Outlook XP)

1. From the main Outlook system in 'Email' view, click 'Tools'.
2. Click 'Options'.
3. Click 'Mail Format'.
4. Click the 'Signatures' button.
5. Click 'New'.
6. Enter a name for your new signature.
7. Select 'Start with a blank signature'.
8. Click 'Next'.
9. Enter your signature text as you would like it to appear.
10. When you've finished, click 'Finish'
11. Click 'OK' on the 'Create Signature' window.
12. On the remaining 'Options' window, drop the 'Signature for new messages' box down and select your new signature from the list.
13. Drop the 'Signature for replies and forwards' box down and select your new signature from the list.
14. Click 'OK' to close the 'Options' window.
